Creating Databases link

If we are assigned to an existing database, we can create a new one by expanding Reference Data within the navigation menu, and opening Databases page. Otherwise, if this is our first time signing in and we are not assigned a database, it will load to the databases page.

  1. Ensure we are in Databases grid, and click the blue arrow to open the side panel.
  2. Click on New Database tool to expand the dropdown.
  3. Type our database Name.
  4. Click Create. Follow all steps below to complete the database setup.

Adding Suppliers link

  1. Ensure we are in Databases grid by expanding Reference Data within the navigation menu, and opening Databases page.
  2. Tabs appear at the bottom of the grid, open Suppliers detail grid.
  3. Select all suppliers we use from the Kind drop down list. The Name will auto-populate, unless it is a general account.
  4. Continue onto next section, Adding Accounts.

Adding Accounts link

  1. Ensure we are in Databases grid by expanding Reference Data within the navigation menu, and opening Databases page. Open the Accounts detail grid.
  2. Ensure the below fields are populated:
    • Business
    • Supplier
    • Description - this should be left blank if we only have one account for that supplier.
    • Full/External/Internal name - this will auto-populate based on our business/supplier/description details.
    • Account Number
    • Contact - this will auto-populate based on our user details.
    • Email Address - this will populate based on our user details.
    • Phone Number - optional field.
    • Address - optional field.
    • Country
    • Currency Code - this will auto-populate based on our selected country.
  3. Continue onto next section, Adding Sites.

Adding Sites link

  1. Ensure we are in Databases grid by expanding Reference Data within the navigation menu, and opening Databases page.
  2. Tabs appear at the bottom of the grid, open Sites detail grid.
  3. Ensure the below fields are populated:
    • Business
    • Name
    • External Name - this will auto-populate based on our business/name details.
    • Code
    • External Code - this will auto-populate based on our business/code details.
    • Contact
    • Email Address
    • Phone Number
    • Address
    • Country
  4. Continue onto the next section, Linking Sites to Accounts.

Each site requires a recognised supplier account to be linked - follow next steps Linking Sites to Accounts.


Linking Sites to Accounts link

  1. Ensure we are in Databases grid by expanding Reference Data within the navigation menu, and opening Databases page. Tabs appear at the bottom of the grid, open Supplier Accounts detail grid.
  2. Select our site from the dropdown.
  3. Select our recognised supplier account from the dropdown.
  4. Repeat with our other sites and supplier accounts.

Linking Sites to Accounts
