Configuring Tracing

Tracing enables identifying specific transactions that may cause a loss. It is used to reconcile the flow of products to and from accounts or locations.

Activating tracing causes additional fields to be updated when adding transactions. Existing rows are not affected by changing tracing settings. Tracing does not create extra work for data entry operators.

  1. Open Account Settings.
  2. Change Transaction tracing from '(None)' to:
    • 'Account' to automatically trace transfer transactions to and from the account.
    • 'Loan' to automatically trace loan transactions to and from trading partners and is suitable when specific lots are loaned and returned, i.e. not when the loan balance is a 'float'. This is also known as settling.
    • 'Site' to automatically trace all transactions to and from sites (relocations) and loan trading partners. This level is more precise and suitable when it is possible to link transactions to and from internal sites.
  3. Tick 'Is carrier reference copied to sender/receiver reference?' if using Account or Site tracing.
  4. Define a 'Tracing start date' to exclude tracing transactions prior to that date.

Tracing Account Settings

Tracing is especially suitable for carriers. A consignment number is typically used to trace a trip, i.e. pickup through to delivery. Note that tracing is unsuitable when consignments are consolidated onto fewer pallets or split onto more pallets before delivery.

All profiles have 'Is Traced' ticked as default. To exclude tracing a trading partner, untick this against the Trading Profile.
