Configuring Users

Users can be configured to have limited access to data that is related to a particular Account or Site. Users can also be assigned a Role which contains permissions within the App.

To create users, creating and inviting users.

Configuring Account Users link

Account users have access to the same operations as Group users, however items are filtered to only display data relating to the users assigned Accounts.

  1. Expand Permissions within the navigation menu, open Users page.
  2. Select user, tabs will appear at the bottom, open Authorised Accounts detail grid.
  3. On a new row, assign authorised accounts accordingly.

Configuring Site Users link

Site users have access to the same operations as Group users, however items are filtered to only display data related to the users assigned Sites.

  1. Expand Permissions within the navigation menu, open Users page.
  2. Select user, tabs will appear at the bottom, open Authorised Sites detail grid.
  3. On a new row, assign authorised sites accordingly.

Creating and Assigning Roles link

Creating or customising user roles gives full control over what a certain user has permission to view, edit and add within the grids.

Users can be assigned roles, which either restrict or allow them to create, update, delete or view certain data. New databases are equipped with two standard roles Operator and Controller (see below table for their permissions). These roles can be modified or alternatively new roles can be created.

Permission Operator Controller Details
KeyReferenceData Allows creating & updating reference entities, i.e. any record without a date.
KeyStocktakes Allows creating & updating stocktakes.

Note that keying transactions is allowed for all users.

ReconcileBills Includes access to finance-related entities and columns. Cannot be granted to 'Location' users.
UpdateAccountSettings
DeleteReferenceData Allows deleting reference entities, i.e. any record without a date.

Note a user can delete a row that they just created. This authorisation remains until the row is refreshed.
DeleteOperationalData Allows deleting transactions, stocktakes, export batches, etc., i.e. any record with a date.

Creating Roles link

  1. Expand Permissions within the navigation menu, open Roles page.
  2. Controller and Operator roles are available to select. Alternatively, create a new row.
  3. Key Name, and tabs will appear at the bottom, open Role Permissions detail grid.
  4. Assign permissions accordingly - see above table for explanation.

  3. On a new row, assign users accordingly.
